01Who we are
Winledger® International C.A., registered under RIF (Venezuelan tax ID) J-29929576-0 and domiciled at Av. Río Caura, Torre Humboldt, piso 5, oficina 05-07, Urb. Prados del Este, Caracas, Venezuela, is the controller of the personal data collected through the website winledger.com.
We develop and provide administrative and accounting software services for businesses. For any matter related to this policy, you may write to us at gestion@winledger.com.
02What this policy covers
This policy explains how we process personal information in two distinct situations, which should not be confused:
- Information about people who visit our website or contact us. We are directly responsible for this data, and it is what most of this document addresses.
- Information our clients upload to the system we provide to them. That data belongs to the client, not to us. Our role and its limits are explained in section 6.
03Data we collect
Data you provide to us
When you fill out a contact form, request a demo, subscribe to our communications, or open a support case, we collect your name, email address, telephone number, company, and job title, as well as the content of the message you send us.
Data generated when you browse
Our servers automatically log the IP address, the type of browser and device, the pages visited, and the date and time of access, in order to detect failures or attempts at unauthorized access.
We also keep our own site statistics, without cookies: which pages are visited, which site or campaign each visit comes from, the approximate country and city, the language, and the type of device and browser. To determine the country and city, the IP address is looked up at that moment in a geolocation database hosted on our own server, and it is not stored. To link the pages of a single visit, a code is calculated from the IP address and the browser using a key that changes every day; that code does not make it possible to know who you are, and it is deleted after 24 hours. This data is used only in aggregate form.
We do not request sensitive data through the website. We do not ask for credit card numbers, health data, or personal financial information through this channel.
04Cookies and browsing
We use cookies, which are small files that the site stores in your browser. We use only strictly necessary cookies: they serve to protect forms against forged submissions and to keep the session active for those who access our administration panel. We do not set advertising, analytics, or cross-site tracking cookies: our statistics work without cookies.
If you choose the site’s light or dark mode, that preference is stored only in your browser so that it can be remembered on your next visit. It is not sent to our servers.
You can block or delete cookies in your browser settings. If you do so, some features of the site may stop working properly.
05How we use the data
| Purpose | What it involves |
|---|---|
| Handling your request | Answering inquiries, scheduling demos, and providing commercial follow-up |
| Providing the service | Providing technical support, training, and implementation to our clients |
| Administration | Invoicing, collecting payments, and meeting accounting and tax obligations |
| Communications | Sending notices of product updates and news, always with the option to unsubscribe |
| Security | Preventing fraud, unauthorized access, and misuse of our systems |
| Site statistics | Counting visits and learning which pages, campaigns, and channels work best, always in aggregate form and without identifying anyone |
We do not sell or rent personal data to third parties, nor do we use it for purposes other than those described here.
06Our clients’ data
Our clients use our system to manage their accounting, inventory, purchasing, and payroll. In doing so, they upload information that may include personal data of their own employees, suppliers, and customers.
That data is the property of our client, not ours. The client decides what information to upload, for what purpose, and for how long. We process it solely on the client’s behalf, following its instructions and the terms agreed in the service agreement.
Specifically, this means that:
- We do not access a client’s information unless it is necessary to provide support, and only at the client’s request.
- We do not use that information for our own purposes, analyze it, or share it with other clients.
- We do not disclose it to third parties, except when required by a competent authority in accordance with the law.
- Upon termination of the contractual relationship, we return or delete the information as instructed by the client and as provided in the contract.
If you are an employee, supplier, or customer of a company that uses our system and you wish to exercise rights over your data, you must contact that company, which is the controller of that information. If you contact us, we will refer you to it.
07Who we share it with
To operate, we rely on certain providers, who access the information only to the extent strictly necessary and are contractually bound to protect it:
- Hosting and infrastructure — hosting and infrastructure providers
We operate email on our own infrastructure. Your messages do not pass through an external email provider.
We do not use third-party analytics tools on this site: the statistics are our own, and geolocation uses a database installed on our server, without sending your IP address to anyone. Apart from the cases above, we disclose information only when required by an order of a competent authority.
08Servers outside Venezuela
Part of our infrastructure is hosted on servers located in the United States and Venezuela. This means that information may be stored and processed outside Venezuela.
When this occurs, we require our providers to make contractual commitments of confidentiality and security equivalent to those we apply ourselves.
09How long we keep it
- Sales inquiries that do not lead to a contract: up to 12 months from the last contact.
- Data of active clients: for as long as the contractual relationship lasts.
- Accounting and tax records: for the period required by Venezuelan law.
- Technical access logs: up to 30 days, for security reasons.
- Visit statistics: up to 13 months. The daily code that links the pages of a visit is deleted after 24 hours.
Once these periods have expired, the information is deleted or anonymized.
10How we protect information
We apply technical and organizational measures to protect data against loss, unauthorized access, or improper disclosure:
- Encrypted connections for the transmission of information
- Access control by user, with permissions according to each person’s role
- Audit log of the operations performed in the system
- Regular backups with tested restoration procedures
- Contractual confidentiality for all staff with access to client information
No system is completely invulnerable. What we do guarantee is that we keep these measures up to date and that we act diligently in response to any incident.
11Your rights
You may, at any time:
- Find out what data we hold about you and where we obtained it
- Correct any data that is inaccurate or incomplete
- Request its deletion, where there is no legal obligation to retain it
- Object to receiving commercial communications
To exercise these rights, write to gestion@winledger.com stating your request. We will respond within a maximum of 10 business days. We may ask you to verify your identity before handling the request, in order to protect your own data.
12Security incidents
If we detect an incident that compromises personal data, we will notify the affected persons without delay and, where appropriate, our clients and the competent authorities, reporting what happened, what information was involved, and what measures we took.
13Minors
Our services are intended for businesses and for persons of legal age. We do not knowingly collect data from minors. If we discover that we have received information from a minor, we will delete it.
14Links to other sites
Our site may link to third-party pages. This policy does not cover those sites, which are governed by their own terms. We recommend that you read them before providing them with any information.
15Changes to this policy
We may update this policy when our services or the applicable regulations change. The version in force is always the one published on this page, and the date of the last update appears at the top of the document. If the change is significant, we will announce it on the site.
